Privacy Policy
Effective date: October 4, 2026
This Privacy Policy explains how ForgeIntent LLC ("ForgeIntent," "we," "us," or "our"), which does business as HRMorning and Rover Insights, collects, uses, shares and protects personal information through Beacon, the AI assistant for HR professionals that we offer under the HRMorning brand at beacon.hrmorning.com, together with its related emails, live sessions and features ("Beacon"). It also explains the choices you have.
Beacon is a business tool. This policy covers Beacon. The HRMorning.com website has its own privacy notice, which covers your use of that site.
1. The short version
- We use what you tell Beacon to answer your questions and tailor them to your company.
- We do not use your content to train generative AI models.
- Your organization's private documents stay isolated to your organization.
- We use information across our HRMorning and Rover Insights brands. We share it with the service providers that run Beacon, and with a sponsor or partner only when you choose to open a sponsored resource or register for a sponsored session.
- You can export your data, correct your profile and delete your account in Settings.
2. Information we collect
Information you give us
- Account information: your name, work email address and sign-in details. Your Beacon password is held by our authentication provider, not by us. If you are moving from an existing HRMorning account, we keep a securely hashed copy of your HRMorning password only so you can sign in with it, and we delete it as soon as you set a Beacon password. If you choose text-message verification, we also collect your phone number.
- Profile information: for example your job title, company, company size, industry, the states you work in, your responsibilities, the topics you follow, and a work phone number or address if you add one.
- Company context: details you or your colleagues tell Beacon about your organization, such as its locations, the HR tools it uses, its priorities and plans to buy software.
- Conversations: the questions and messages you send, Beacon's answers, and any ratings or comments you give on an answer.
- Documents and connected content: files you upload, and content from services such as Microsoft 365, Google Drive or Dropbox that your administrator connects.
- Meeting transcripts and wrap-ups: a meeting transcript you upload is read once to write a wrap-up and is not stored. We keep the wrap-up, with its to-dos and questions, until you delete it.
- Transcripts from Teams or Zoom, if you connect them: when you pick a meeting, we read its transcript once from Microsoft or Zoom to write your wrap-up, and we do not store the transcript. To do this we keep an encrypted credential from that service until you disconnect.
- Your calendar, if you connect it: the times and titles of your meetings, read so Beacon can remind you before and after them. We do not read meeting invitations, attendees or recordings, and we do not store your meetings, only the reminders we send you.
- Billing information: your billing contact and address. Card details are collected and stored by our payment provider, Stripe. We do not store your full card number.
- Registrations: information you provide to register for a live session or workshop.
- Messages to us: anything you send when you contact us or ask for help.
- Help questions: questions you ask Help, Beacon's in-app guide to using Beacon, the page you asked from, and whether you found the answer useful.
Information collected automatically
- Usage information: the features and pages you use, the specialists that answer you, the sources you open, and when and how often you use Beacon.
- Device and connection information: your IP address, browser, device type and similar technical data, including in server logs.
- Cookies and browser storage: see section 6.
Information from other sources
- HRMorning. If you already have a relationship with HRMorning, another of our brands, for example as a newsletter subscriber, customer or webinar attendee, we may combine that information with your Beacon account.
- Business data providers. When you sign up, we may use professional contact and company information from business data providers, including data enrichment services, to suggest details for your profile. You can review and change anything we suggest.
- Your organization. An administrator may invite you, which gives us your name and email.
- Sign-in providers. If you sign in with Google, we receive your name and email from Google.
- Sponsors and webinar platforms. We may receive confirmation of your registration or attendance for a session you signed up for.
Information about other people
You may mention employees, candidates or others in your questions or documents. Please share only what you need, and do not include sensitive information such as health details or government identification numbers. You are responsible for having the right to share it.
A meeting transcript contains what everyone in the meeting said. We read it only to write your wrap-up, and we keep only the wrap-up. The wrap-up is designed to name the HR issues a meeting raised without repeating health details. Beacon is designed to decline job interviews, exit interviews and meetings about investigations, terminations, discipline, an individual's health, accommodation or leave, legal advice, union matters and pay negotiations.
3. How we use information
We use personal information to:
- Provide Beacon: answer your questions with sources, tailor answers to your company and jurisdictions, remember context across conversations, generate drafts, and run features such as your morning brief, compliance reminders and software recommendations.
- Run your account: authenticate you, manage your workspace and seats, and process payments.
- Keep Beacon secure: require multi-factor authentication, screen messages for misuse, prevent fraud and abuse, and investigate problems.
- Communicate with you: send service messages, such as account, billing, renewal and deletion notices, and respond to you.
- Improve Beacon: understand how features are used, and review answers people rate. That review can include people on our team reading the question and answer involved, so we can fix quality problems and test improvements. When you rate an answer in a conversation about a meeting, we keep only the rating, not the question or answer.
- Write meeting wrap-ups: turn a meeting transcript you upload into a wrap-up you review. Meeting transcripts, wrap-ups and conversations about them are kept apart from the rest of Beacon. They are not used to build your company profile or Beacon's memory of your preferences, and they are not copied to our data warehouse.
- Answer Help questions: to answer a question about how to use Beacon, Help uses your plan, your role in your workspace and your getting-started progress. Help does not see your Beacon conversations or your documents. People on our team review Help questions, including ones Help could not answer, to find and fix what is hard to use. We do not send the text of Help questions to our product analytics provider. If you choose to send a Help question to our team, we send it with the page you asked from and your email address, so that someone can reply to you by email.
- Improve recommendations: use company context and the outcomes of software evaluations to improve how Beacon matches organizations with relevant software and services, including by comparing companies that are alike.
- Market to you: send you HRMorning newsletters and offers that may interest you. You can unsubscribe at any time.
- Operate sponsored content and sessions: share your information with a sponsor or partner when you choose to, as section 4 explains.
- Meet legal obligations, enforce our Terms of Service and protect our rights and the rights of others.
How Beacon uses AI
Beacon's answers are generated by large language models from Anthropic, which we run through Amazon Bedrock inside our own Amazon Web Services account. To answer you, we send the model your question, relevant parts of your conversation and profile, and relevant passages from documents you are allowed to see.
- We do not use your content to train or fine-tune generative AI models. Beacon has no process that sends your conversations, profile or documents for model training.
- Amazon states that Bedrock does not use inputs or outputs to train models. That commitment comes from Amazon's service terms, not from our own systems.
- We use company context and software evaluation outcomes to improve our recommendation features, as described above. That is not a generative AI model.
4. How we share information
We do not sell personal information for money. We share it in these situations:
Service providers
These companies process information for us so we can run Beacon. They may use it only to provide their services to us.
| Provider | What they do for Beacon |
|---|---|
| Amazon Web Services | Hosting, file storage, AI model processing, document text extraction, content delivery |
| Supabase | Application database, including conversations and document text |
| Clerk | Sign-in, authentication and account security |
| Snowflake | Data warehouse, including conversation summaries, company context and workspace members' email addresses |
| Upsun (Platform.sh) | Application hosting |
| Stripe | Payment processing |
| Segment | Product analytics |
| Mailgun | Delivery of service emails |
| GoTo (GoToWebinar) | Live sessions and workshops |
| Slack | Internal notifications to our team, which can include your email address, feedback you give, excerpts of questions and answers you rate, and Help questions you choose to send to our team |
| Vimeo | Embedded video |
| Iterable | Sending HRMorning newsletters and offers |
| Leadspedia | Delivering your details to a sponsor when you choose to open a sponsored resource or register for a sponsored session |
Across our brands: HRMorning and Rover Insights
HRMorning and Rover Insights are brands of ForgeIntent, not separate companies. We use contact details, profile information and company context from Beacon across our brands: to personalize HRMorning content, to send you HRMorning newsletters and offers, and to run the memory service, operated under our Rover Insights brand, that helps Beacon remember context across your conversations. This information becomes part of our HRMorning audience records, which are kept separately from your Beacon account (see section 7).
Your organization
Your workspace administrators can see who is in the workspace and can see and manage the company information and documents shared with the whole workspace. Documents you upload as personal are visible only to you. Meeting wrap-ups are visible only to you. If you add one to your Company Library, it stays visible only to you unless you choose to share it with your workspace.
Sponsors and partners, when you choose
- Sponsored resources. When you choose to open a sponsored resource, we share your professional profile with its sponsor: for example your name, work email, job title, company, company size, industry and location. The sponsor may contact you about related products and services. Each sponsored resource names its sponsor before you open it.
- Sponsored live sessions. When you register for a session, we share your registration details with the webinar host and, where the session is sponsored, its sponsor, as shown when you register. Registering may also subscribe you to the HRMorning newsletter, as shown at registration.
A sponsor's use of your information is governed by its own privacy policy.
Services you connect or direct us to
When an administrator connects a service such as Microsoft 365, Google Drive or Dropbox, we exchange information with that service to sync the content selected. When you connect your own calendar, we exchange information with your calendar provider to read your meeting times and titles. When you connect Microsoft Teams or Zoom, we exchange information with that service to read the transcript of a meeting you pick. If you ask us to share information with a third party, we share what you approve.
Other situations
- Legal and safety: when we believe in good faith that the law requires it, or that it is needed to protect the rights, property or safety of our users, the public or us.
- Business transfers: as part of a merger, acquisition, financing or sale of assets, subject to this policy.
- With your consent, or at your direction.
- Aggregated or de-identified information that cannot reasonably identify you.
When you open a sponsored resource or register for a sponsored session, you are directing us to share your information with that sponsor. If you would like to opt out of any disclosure of your personal information that a state privacy law treats as a "sale" or "sharing," email beacon@hrmorning.com with "Do not sell or share" in the subject line.
5. Voice input
If you use the microphone, your browser converts your speech to text. Some browsers, such as Chrome, Safari and Edge, may send the audio to the browser maker's speech service to do this. Others, such as Firefox and Brave, transcribe it on your device. Beacon receives only the resulting text.
6. Cookies and browser storage
- Essential cookies. Our authentication provider, Clerk, sets cookies that keep you signed in
and secure. Beacon does not work without them. If you choose a plan on our pricing page before you
have an account, Beacon also sets its own cookie,
beacon_purchase_intent. It remembers the plan, seat count and billing choice you picked while you sign up, lasts up to 24 hours, and is deleted when you reach checkout. If you follow a "Read it on Beacon" or Daily Brief link from HRMorning.com or an HRMorning newsletter before you are signed in, Beacon sets another cookie of its own,beacon_read_intent. It remembers where the link was taking you (an HRMorning article, or your Daily Brief), where the link was (for example, the newsletter) and a random identifier for that click, so Beacon can take you there once you sign in. It lasts up to 2 hours and is deleted when you arrive. - Preferences. Beacon stores a few settings in your browser, such as your theme and how you have arranged the sidebar.
- Reading HRMorning articles in Beacon. While you are signed in, Beacon sets a cookie named
beacon_signed_inon hrmorning.com, so that HRMorning.com can read it. It holds only the value "1": no name, identifier or password. It tells HRMorning.com that this browser is signed in to Beacon, so that when you open an HRMorning article you are taken to the same article in Beacon. Beacon still checks that you are signed in before it shows you anything. It lasts 7 days from your last visit to Beacon, and Beacon removes it the next time you open Beacon while signed out. Each time, the page you land on in Beacon has a link to read the article on HRMorning.com instead. You can also delete or block this cookie in your browser settings. - Analytics on our pricing page. Our pricing page asks visitors who are not signed in whether
Beacon may collect analytics. If you choose Accept, Beacon sets its own cookie,
beacon_aid, holding a random identifier. It lets our product analytics provider (Segment, see section 4) count views of that page, clicks on its buttons, and visits that arrive through a "Read it on Beacon" link, without knowing who you are. It lasts 180 days. If you then create an account, we link that identifier to your account, so we can see which visits led to a sign-up. If you choose Decline, or close the banner without choosing, Beacon sets no identifier, records none of those visits, and deletes an identifier it set before. If your browser sends a Global Privacy Control signal, Beacon treats it as Decline, whatever you chose. Your choice is kept in a cookie namedtracking-preferencesfor one year, and you can change it at any time from "Cookie preferences" at the bottom of the pricing page. - No advertising trackers. Beacon does not use advertising cookies. Our product analytics run on our servers rather than through tracking scripts in your browser.
- Embedded services. Some features embed content from other companies, such as video players, live session players, the payment form and a bot check at sign-up. Those companies may set their own cookies under their own policies.
You can block or delete cookies in your browser settings, but Beacon needs its essential cookies to work. Beacon does not respond to browser Do Not Track signals, because there is no common standard for them.
7. How long we keep information
- While your account is open, we keep your account, profile, conversations and documents so Beacon can work for you. You can delete individual conversations and documents at any time.
- When you delete your account, deletion takes effect after a 30-day grace period, during which you can cancel it. We then delete your information from Beacon's systems, including your conversations, uploaded documents and their search indexes, and your sign-in account.
- Some records are kept after deletion, with your identity removed where possible: security and audit logs, usage and billing records, and records of consents you gave. We keep billing and tax records for as long as the law requires.
- Shared workspace content that your organization relies on, such as documents uploaded for the whole workspace, stays with the organization.
- Connections to your calendar, Teams or Zoom are kept until you disconnect them or your account is deleted. If you remove Beacon from your Zoom account, we delete our connection to it.
- Meeting wrap-ups are kept until you delete them, or until your account is deleted. A transcript you upload is not kept at all. A wrap-up you added to your Company Library and shared with your workspace stays with your organization, like other shared documents.
- Help questions are deleted from Beacon 90 days after you ask them, or when your account is deleted if that is sooner. A question you choose to send to our team is also kept in our internal Slack workspace so we can follow up with you.
- Closing your Beacon account does not delete everything. Your HRMorning audience records, such as newsletter subscriptions, purchases, and the contact and company details Beacon added to them, are kept separately and are not deleted when you close your Beacon account. Copies already shared with sponsors you chose to share with, with our payment provider and with webinar platforms are kept under their own policies. To ask for any of these to be deleted, contact us and we will help.
- Backups and system logs are kept for a limited period, then overwritten or deleted on a regular cycle.
8. Your choices and rights
- Access and export. Download a copy of your profile, conversations, drafts and meeting wrap-ups from Settings.
- Correction. Update your profile in Beacon at any time.
- Deletion. Delete your account from Settings, as described in section 7.
- Marketing emails. Use the unsubscribe link in any HRMorning marketing email. We will still send service messages about your account.
- Sponsored sharing. Information is shared with a sponsor only when you choose to open a sponsored resource or register for a sponsored session.
- Connected services. Your administrator can disconnect a connected service at any time. You can disconnect your own calendar, Teams or Zoom at any time, in Settings under Connections, and we then delete our access to it. For Zoom, we also revoke Beacon's access at Zoom.
State privacy rights. Depending on where you live, you may have the right to know what personal information we hold about you, to receive a copy, to correct it, to delete it, and to opt out of the "sale" or "sharing" of personal information or its use for targeted advertising. You also have the right not to be treated differently for exercising these rights. To make a request, email beacon@hrmorning.com with "Privacy request" in the subject line. We will verify your identity before acting on it. You may use an authorized agent, and if we deny your request you may appeal by replying to our decision.
9. Security
We protect information with encryption in transit and at rest, isolation of each organization's data enforced by the database itself, required multi-factor authentication and access controls. Our Security overview describes these measures in detail, including what we do not yet have. No system is completely secure, and we cannot guarantee the security of your information. If a breach affects your personal information, we will notify you as the law requires.
10. Sensitive information
Please do not put sensitive personal information into Beacon, such as health information, Social Security or other government identification numbers, or payment card numbers. Beacon is not designed or certified for it, and it is not HIPAA-eligible.
This includes meeting transcripts. Do not upload a transcript of a meeting about an individual's health, accommodation or leave. Beacon is designed to decline those meetings and to leave health details out of the wrap-ups it writes, but that is a safeguard, not a substitute for your judgment.
11. Where we process information
Beacon is intended for users in the United States. We and our service providers store and process information in the United States. If you use Beacon from outside the United States, your information will be transferred to and processed in the United States.
12. Children
Beacon is a professional tool for adults. It is not intended for anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
13. Changes to this policy
We may update this policy. If a change is material, we will tell you by email or in Beacon before it takes effect. The "Last updated" date at the top of this page shows when it last changed.

Changelog
Newest first. The "Last updated" date on this page is the first date in this table.
| Date | Change |
|---|---|
| 2026-10-19 | Removed the "Always read on HRMorning" choice and its cookie, beacon_auto_redirect, from section 6: Beacon no longer offers it or sets that cookie. The page you land on in Beacon still links to the article on HRMorning.com each time. Nothing new is collected. |
| 2026-10-19 | Added the cookies "Read it on Beacon" uses (section 6): one that takes you to an HRMorning article or your Daily Brief after you sign in, and two on hrmorning.com that let a signed-in reader go from an HRMorning article to the same article in Beacon, or turn that off. Also described the cookie banner on our pricing page: the analytics identifier is now set only if you choose Accept, and it also counts visits from a "Read it on Beacon" link. Beacon collects less analytics as a result; none of the new cookies identifies you. |
| 2026-10-16 | Added job interviews and exit interviews to the meetings Beacon is designed to decline (section 2). Beacon processes less as a result; nothing new is collected. |
| 2026-10-13 | Clarified where you disconnect your own calendar, Teams or Zoom (section 8): in Settings, under Connections, where those connections now live. A clarification; what we collect and how we use it are unchanged. |
| 2026-10-12 | Clarified cookies (section 6): named the two first-party cookies our pricing page sets for visitors who are not signed in. One remembers the plan you chose while you sign up; the other is an analytics identifier, which is not set if your browser sends a Global Privacy Control signal. A clarification; what we collect and how we use it are unchanged. |
| 2026-10-08 | Added connecting Microsoft Teams or Zoom to wrap up a meeting you pick: what we read and do not keep (section 2), the exchange with that service (section 4), how long the connection is kept (section 7), and disconnecting (section 8). |
| 2026-10-08 | Added meeting wrap-ups: what is collected and that transcripts are not kept (section 2), how wrap-ups are used and kept apart (section 3), who can see them (section 4), how long they are kept (section 7), export (section 8), and the sensitive-meeting limits (sections 2 and 10). |
| 2026-10-08 | Added connecting your own calendar: what Beacon reads from it (section 2), the exchange with your calendar provider (section 4), and disconnecting it (section 8). |
| 2026-10-07 | Added Help, Beacon's in-app guide to using Beacon: what it collects (section 2), how it is used and reviewed (section 3), the Slack notification when you send a Help question to our team (section 4), and how long Help questions are kept (section 7). |
| 2026-10-04 | First published version, in effect from this date. |
